Solufile is an AI-powered document chat platform. This Privacy Policy explains how we collect, use, store, and protect your information when you use our service.

Google Drive Access

Solufile requests per-file access to your Google Drive using the drive.file scope. This means we can only access files you explicitly select via the Google file picker.

• You choose which files to share — we cannot see your entire Drive
• Selected documents are downloaded for AI processing and indexing
• Selected Google Workspace files (Docs, Sheets, Slides) are exported to processable formats

Google API Services User Data Policy

Solufile's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data We Collect

Account Information

• Google account email address
• Google account display name
• Google account profile picture

Document Data

• Document text content (extracted for AI indexing)
• Document metadata (file name, type, modification date)
• AI-generated embeddings (numerical representations for search that cannot be reversed to reconstruct original documents)

Usage Data

• Chat conversations and queries
• Feature usage and interactions
• Error logs for troubleshooting

How We Use Your Data

• Document Indexing: Process documents to create searchable AI embeddings
• AI Chat: Use document content to provide contextual answers to your questions
• Service Improvement: Analyze usage patterns to improve our service
• Support: Respond to inquiries using your contact information

Data Storage and Security

Your data is stored on servers in Singapore (ap-southeast-1) using industry-standard practices:

• Database: PostgreSQL with row-level security
• Vector Storage: Vector database for AI embeddings
• File Storage: Cloud storage for uploaded files
• Encryption: All data encrypted in transit (TLS) and at rest (AES-256)
• Authentication: OAuth 2.0 via Google

Third-Party Services

We use third-party service providers to operate Solufile, including services for:

• Authentication and cloud storage access
• AI processing (embeddings, chat responses, document parsing)
• Database and file hosting
• OCR and document processing

These providers only receive data necessary to perform their functions. We do not sell your data to third parties.

Data Retention

• Account Data: Retained while your account is active
• Document Data: Retained until you delete the document or account
• Chat History: Retained until you delete the chat or account
• Usage Logs: Retained for 30 days

Your Rights

You have the right to:

• Access: Request a copy of your data
• Deletion: Delete your account and all associated data
• Correction: Update your account information
• Revocation: Revoke Google Drive access at any time via Google Account settings
